PARAMETERS:
Qualico’s Corporate Responsibility Program is exclusive to Qualico employees and is designed to support the communities we serve throughout Western Canada and Texas. Your nomination, as a Qualico employee, must fit within one of the areas of giving (click on the tab at the top to learn more) or in the “other” category with a detailed explanation about how the cause you’re nominating supports the communities we serve.
As per Qualico’s Corporate Giving Policy, the following initiatives are not generally funded by the Qualico Corporate Giving Program:
- Communities located outside of Western Canada or Texas
- Individuals or groups seeking support for personal initiatives where funds would be used for personal needs or travel
- Political campaigns or organizations
- Organizations that do not align with the Qualico Respectful Workplace Policy
- Organizations that are not a registered charity or not-for-profit
- Organizations that have had their charitable status revoked or delisted
PROCESS & POLICY:
Qualico employees are invited to nominate an organization or cause to receive an Acts of Kindness donation using the online form on IQ or the external mobile-friendly form with easy, remote access for employees on the go.
The following rules apply to the Acts of Kindness program and its policy:
- Nominations for the 2025 Acts of Kindness campaign will be accepted throughout the year during two submission rounds, with the first round being May 20 to August 5, 2025, and the second round being August 29 to November 21, 2025. Time-sensitive requests may experience challenges as the nomination windows and fulfillment timeline of donations may occur after the event date.
- Any nominations submitted after the second round will be considered for the 2026 campaign.
- Individuals are allowed to submit more than one nomination per round; however, they must be for separate causes and/or organizations.
- If individuals have their nomination selected for a particular cause or organization to receive an Acts of Kindness donation throughout the current campaign, they cannot submit for the same cause or organization again in the same campaign but can for a different cause or organization.
- Employees are allowed to nominate and receive an Acts of Kindness donation in back-to-back years for the same cause or organization.
FOR YOUR INFORMATION:
- Acts of Kindness selections will receive funding based on meeting a threshold of points as evaluated by the Acts of Kindness application review committee.
- The number of Acts of Kindness donations Qualico gives will depend on the nominations it receives throughout the campaign.
- If selected, nominations for the same cause or organization will share a single Acts of Kindness donation amount of $1,000 unless the funds are assigned to a local chapter of a national organization.
- Acts of Kindness nominations will not be granted to fundraising campaigns related to promoting a business in the forms of the donations equaling ‘votes’ in an online competition.
CRITERIA AND NOMINATION CHECKLIST:
To ensure your nomination has the best chance to be selected, take the following checklist into account before you submit it:
- The cause or organization you’re nominating…
- is located in Western Canada and Texas;
- is not an individual(s) or group(s) seeking support for personal initiatives where funds would be used for personal needs or travel
- is not a political campaign nor organization;
- aligns with the Qualico Respectful Workplace Policy;
- is a registered charity or not-for-profit; and
- has not had its charitable status revoked or delisted.
When evaluating your nomination, the following three areas will be scored:
- How involved or “hands-on” are you with the cause or organization you’re nominating?
Employees directly associated with the cause or organization, such as a volunteer, fundraiser, coach, etc., will be prioritized in the selection process. - Why is the cause or organization deserving?
A compelling ask that outlines the impact the donation will have will be evaluated as a higher priority. - How will the cause or organization benefit from the donation immediately?
Tell us both the big picture results but also any immediate opportunities for the donation to make a difference. This information may result in your application being evaluated as a higher priority.
Please keep entries to 200 words or less and review your nomination before you submit it to ensure all fields are completed and correct.
REVIEW AND ANNOUNCEMENT PROCESS:
All nominations will be reviewed by the Acts of Kindness review committee within 30 days of the closing deadline date of each submission round. Employees with successful nominations will be contacted individually and then announced on IQ.
Nominations are not confidential – donation recipients and the employees who nominated them will be publicly shared with Qualico employees on IQ.
Acts of Kindness announcements are an opportunity for employees to advocate for causes they care about. It’s an opportunity to bring awareness to these causes for other employees and inspire their own personal involvement or support of projects in their communities.
DONATION PROCESS:
- All cheques issued as part of the Acts of Kindness campaign will be issued in the program’s campaign year with the intent that funds will be used in that same year.
- Cheques are only issued to the cause or organization, not to any personal bank account of anyone affiliated with either.
- Funds will be issued for the $1,000.00 amount in the local currency of the Qualico employee for the cause they are nominating.
- The Acts of Kindness letters and cheques will be mailed directly to the contact information provided for the nominated cause or organization in the original nomination, unless otherwise specified. The Qualico employee who nominated the cause will be contacted before a cheque is issued to clarify any final details.
- Please allow up to 30 days from the time the selections are announced on IQ for the Acts of Kindness letter and cheque to be delivered.
